Real estate analytics Which inquiries become viewings, and which viewings sign?

The property template follows a buyer or renter from listing view to inquiry, booked viewing, completed viewing and signed contract. Projects and listings are properties; agents are groups; phone numbers are hashed.

  • Project and listing as properties
  • Agent as a group with a ranking
  • Contracts and commission from your CRM

The problem

Three things a sales director cannot see today

Which listings earn calls, which viewings happen, and which agent closes.

Listings judged by views

Views say what the portal promoted. Inquiry rate per listing says what buyers wanted. lead_submit with listing_id separates them.

Watch: Inquiry rate

Viewings booked, not held

A viewing booked by phone and a viewing that happened are different events. visit_done from the agent app makes show rate real.

Watch: Viewing show rate

Agents measured by anecdote

Who converts viewings to contracts is a feeling until contract_signed is attached to group=agent.

Template metrics

Fourteen metrics from listing to contract

Discovery, lead, viewing, reservation, contract and cancellation. Names match the console after install.

Dashboards the template installs

Each dashboard is a set of cards: KPIs, funnels, trends, retention, distributions and breakdown tables. Edit, duplicate or share them after install.

One sales board

Property sales holds inquiries, viewing show rate, contracts and contract value as KPIs, the listing-to-contract funnel, trends, the channel inquiry table, the city distribution, the agent ranking and the contract value distribution.

Funnel

Listing view, inquiry, viewing booked, viewing held, contract

Five steps over 90 days, long enough for a property decision. The −46% badge marks the step losing the most prospects.

Break down by project

project_id is on viewing and contract events. Compare projects on show rate and viewing-to-contract, not on portal views.

Break down by agent

group=agent attaches viewings and contracts to the agent. The ranking replaces the weekly phone round.

Reservation to contract

The reservation funnel runs subscribe_unit → contract_signed over 60 days, with cancellation rate beside it.

Listing demand, viewing show rate, agent performance and channel quality.

Use case 1

Rank listings by inquiries, not views

listing_view, listing_favorite and lead_submit carry listing_id. Inquiry rate per listing and per project shows demand; mortgage_calc use shows intent.

  • Inquiry rate and favourites per listing
  • Mortgage calculator use as an intent signal
  • City distribution of inquiries

Make viewing show rate a weekly number

visit_booked from the site and visit_done from the agent app bracket the viewing. Show rate by project and by weekday shows where confirmations and directions need work.

  • Viewing show rate by project and weekday
  • Reminder invites through chat the day before
  • Viewing-to-contract per project

Example scenario: Northgate booked plenty of viewings and held 41%. The on-site office was closed on Sundays, the day most viewings were booked for.

Rank agents by signed contracts

Agents are groups. The ranking compares viewings held, contracts, contract value and commission, so coaching goes to the agent with many viewings and few contracts.

Judge portals and ads by viewings held

The channel inquiry table joins click IDs and UTM to viewings and contracts. A portal that sends many inquiries and few viewings is priced wrong.

  • Channel table: inquiries, viewings held, contracts
  • Cost import for cost per viewing
  • First-touch attribution on the profile

Inquiries vs viewings held by channel

Answer the listing question while the buyer is still on it

A visitor has viewed the same 3BR listing three times this week and opened the mortgage calculator. The invite offers a viewing this weekend; the AI answers HOA, school and parking questions from the listing data.

  • Invite on a third view of the same listing or calculator use
  • Context: listing, favourites, calculator inputs, source
  • Phone number captured in chat is hashed and becomes the lead

Example scenario: Chat-booked viewings showed at 76% versus 61% for form-booked ones; the buyer had already asked the questions that cause no-shows.

FAQ

Questions about this solution

Still have a question?

Chat with the team behind TapCub — we usually reply within a few hours on business days.

What does the real-estate template install?

Ten events, fourteen metrics including inquiry rate, viewing show rate, viewing-to-contract rate, average contract value, commission and cancellation rate, two funnels and the Property sales dashboard.

How are agents and projects separated?

Agent is a group: send group=agent: on viewing and contract events. Project and listing are properties, so one event set serves many developments.

How is the phone number stored?

As a SHA-256 hash that doubles as the login ID. CRM events with the same hash connect the portal click to the signed contract.

Does it work for rentals and resale?

Yes. Use contract_signed for a lease or a resale deal and leave subscribe_unit unused. Commission is an optional property on the contract.

Which events come from the CRM?

visit_done, subscribe_unit, contract_signed and deal_cancelled are marked Server. Send them from your CRM or the agent app.

Can I see demand by city?

The city distribution card on the sales board breaks inquiries down by the visitor’s city, useful for deciding where to open the next sales office.
